Pumps

The typical pump order generally has fewer overall tags than instrumentation/valve orders, but the documentation required per tag increases significantly. Engineering and Quality Departments are heavily involved in the process, and expediting documents (from suppliers, and internally) becomes a core function of document control. Standard lists of documents generally exist, and internal document codes get mapped to customer codes.

Packages of material certificates are pulled together by quality departments, generally through a manual process for each pump. Pull heats from routers, create table of contents, and pull certificates from a data store. For each pump/component.

With many projects on the go, all in various stages of completion, it is important to have a keen eye on ship dates, and the state of document completion. Mistakes cause delays.

Get every doc approved in time for shipment

When you pumps have completed all of their manufacturing process, it’s time to ship. But – not until every document has been approved by the customer. Of course – this can apply to other types of equipment, but pumps seem especially prone to approval holdups.

DocBoss has detailed tracking of every single document. Some don’t require approval, and those are easily identified, but the ones which remain outstanding are easy to find, and easy to chase. Our dashboard gives you a bird’s eye view of the upcoming ship dates, and the completeness of the documentation submittals. Everyone can see if there is an issue which will impact shipment, and push to get the approval sorted out.

Internal Performance Metrics

Being able to see the current status of projects is certainly important, but when you are managing a team, being able to see the month over month stats is also useful. Maybe you want to compare on-time delivery of documents between teams, projects or customers. How many times do you submit documents? How often do documents get held up by your team members? Which customers reject the most documents? DocBoss provides a full set of metrics which can be used to determine performance milestones, and allow you to monitor (and improve) your document execution over time.

Routing

As documents are returned from your customers, different team members must be notified, and you must track who is responsible to resolve. In DocBoss, you can assign documents to a workflow, and those team members will see the actions show up on their dashboards (and in their email box if you wish). Gone are the days of assigning outlook tasks to yourself to follow up on documents. DocBoss allows you to assign and forget. Then just review the upcoming, and overdue assignments to make sure the team is on top of the work. You can assign the document to several people sequentially, to ensure it is completed and reviewed appropriately.

Material Test / Mill Test Certificates (Packages)

Tracking all of the material used on a pump (or any piece of steel equipment) is a large task, and one which must be completed with diligence. DocBoss can help. There are two key tasks you currently undertake – uniquely storing the certificates, and tracking the material used for each component. With those two pieces of data, DocBoss can automate the creation of your material packages.The compilation tool can create separate material packages per serial number, tag, pump set, drawing etc. Packages are built with a full table of contents (containing cross-references between heat numbers/certificates and the equipment), bookmarks, hyperlinks, and more. Everything you need to satisfy the most demanding customer – internal and external! All with the click of a button. Of course – you have to give us your cross reference data (which might be trapped on your routers), but that’s a process you’re doing anyway to create the packages as is. And if you already have it digitally – wow – imagine not having to create material packages anymore…

Compressors

The scope of the compressor projects often extend into multi year execution. Multiple services, trains, and pairs make these projects large scale. While documentation for major sub-vendor components will generally require approval by the customer, the collection and internal review of most sub-vendor documentation is important, and often a time sink for project engineers.

Drawing packages

When our customers are doing fabrication work themselves, they often start to issue drawing packages, vs individual drawings. While the drawing submission process is generally driven by the engineering company receiving the data, being able to group your drawings into packages can be valuable. Overall – DocBoss still has a register for each and every drawing (each page will have a drawing number and status), but the packaging is sometimes desired by the customer.

Issue Purpose Workflow

As you work through the issuance of your documents, you may need to work through various issue purposes. Often each stage requires client acceptance. In DocBoss, you can define  sequence of issue purposes (e.g. IFA, IFC, AB, etc…), and we’ll help you track that document through each stage.

Track other documents

In addition to tracking the status of drawings submitted to the customer, there is often a need to track / manage construction drawings, RFI’s or other documents. DocBoss allows you to identify which documents should be hidden from your customer, and therefore will not appear on index reports and the like, but are still available for your team to see and manage internally.

Manual registers

Of course, with engineering heavy documents, our register auto-generation might not be applicable. Generally – for engineering data, you will want to manually upload a list of required documents (or add them as they arrive).The ability to combine auto-generated registers with manually generated registers is a core function of DocBoss.

Just as you must manage vendor documents (generally using our auto-generated register function), you will just as likely need to manage the engineering drawings manually. Pick you tag(s), your code(s) and whether you’ll be entering your own number, or whether you want us to generate the document number for you.

MRB per unit, skid, train etc.

In case databooks are not your favorite pastime, DocBoss is there to help. The easy configuration of the DocBoss databook module is a favorite with our users. We understand that many customers have different formats (and that you have some favorites of your own). With several configuration options, you can quickly manage (and change) the structure and layout of your databook.

And of course – you likely need a separate book for each tag; or maybe a book for each train, with a subsection for each tag; or …. DocBoss allows you to quickly configure the number and hierarchy of the books you need to create from the documents you are managing. And if you have documents or drawings which apply to many tags, they will automatically be pulled into all of the appropriate locations.

Manage Vendor Documents

So – here the circle completes. You are both the supplier, and the customer. Use DocBoss to generate registers for the documents you will receive from your sub-suppliers. This is a native function using the equipment list and our auto generated registers.

Soon – DocBoss will introduce the vendor portal. This will allow your vendors to upload their documents directly to the system, and you’ll just accept or reject them, while they move onto their next step in your process.
